Small operations teams

A weekly snapshot.
Not a weekly rewrite.

The weekly update needs an accurate snapshot of completed, active, blocked and unrecognised records without rewriting every row.

An illustrative handoff

  1. 01

One agreed tracker snapshot is supplied.

  2. 02

Supported statuses and record IDs are checked.

  3. 03

Counts and exception IDs are calculated.

  4. 04

The owner reviews freshness before sharing.

Hypothetical process, not a deployed customer system.

Organise the work.
Leave judgement visible.

A routine update should be reproducible from its source. Counting the statuses that are actually supplied is different from guessing whether work has progressed. A missing owner or an old timestamp should be an explicit limitation on the report, not a reason to invent an update.

Count explicit statuses in one export and produce a source-linked exception list for review.

What goes in.
What stays with you.

Information required

Stable IDs, agreed statuses, snapshot date and duplicate rules.

Only agreed and authorised fields belong in the connection. We establish identifiers, field types, owners and the expected volume during feasibility. Do not send private sample records in an initial email.

The human decision

The owner decides what the figures mean and approves distribution.

A blank status is not complete. Repeated identifiers must not inflate counts. Without an earlier comparable snapshot there is no supported trend, and a total does not establish timeliness, financial performance or an individual’s productivity.

Outside this example: Performance rankings, financial assurance, inferred completion or a multi-system business-intelligence project.

Start with
the actual process.

An existing system or a better checklist may already handle the need. We do not assume that a visible enquiry form or a manual step establishes a commercial problem.

One workflow.
Only if it fits.

A narrow version may fit the £450 starter pilot after intended-tool feasibility: one input, one existing tracker and at most two approved app connections. The fee is not a sector-wide implementation package. Several channels, bespoke planning, data migrations and wider reporting require separate scope.
